Privacy Policy
What this website collects, why it collects it, and how long we keep it.
The short version
This site runs no advertising networks, no analytics trackers and no third-party scripts. The only personal information we hold is what you choose to type into the contact form, and we use it solely to reply to you.
Information you give us
When you submit the contact form we receive your name, email address and message, plus the optional company, phone, budget and service fields if you complete them. We store the submission on our server and may email a copy to ourselves so we can respond.
Alongside the submission we record your IP address, the time and your browser's user-agent string. This is kept purely to detect and block automated abuse of the form.
Information collected automatically
Our web server keeps standard access logs — IP address, requested URL, response code, referrer and user-agent — which are used for security monitoring and diagnosing faults.
We set one cookie, a session cookie, which holds no personal data. It exists so the security token protecting the contact form can be verified, and it is deleted when you close your browser. There are no advertising or analytics cookies, so there is nothing here to consent to.
Legal basis and purpose
We process contact-form data on the basis of your request that we get in touch, and server logs and anti-abuse data on the basis of our legitimate interest in keeping the site secure and available.
Sharing
We do not sell, rent or trade personal information. Data is shared only with the hosting and email providers that operate this site on our behalf, and only to the extent needed to deliver the service, or where we are required to disclose it by law.
How long we keep it
Contact enquiries are kept for up to 24 months so we have a record of the conversation, then deleted. Server logs and anti-abuse records are kept for a short period — typically no more than 90 days.
Your rights
You may ask us for a copy of the personal information we hold about you, ask us to correct it, or ask us to delete it. Email support@vortexsystemsinc.com and we will respond within 30 days. Depending on where you live you may also have the right to complain to a data-protection regulator.
Security
The site is served over HTTPS with HTTP Strict Transport Security, a strict Content-Security-Policy and hardened session cookies. Form submissions are protected by cross-site request forgery tokens and rate limiting, and enquiry records are stored outside the public web root. No system is perfectly secure, but we treat this as an ongoing obligation rather than a one-off task.
Children
This site is aimed at businesses and is not directed at children under 13. We do not knowingly collect information from them.
Changes
If we change this policy we will update the date at the top of this page.
